POSITION SUMMARY

Under general supervision, performs clerical, administrative, and general office duties in support of Authority attorneys and projects within the Torts Section.

PRIMARY RESPONSIBILITIES

Creates, modifies, prepares, and proofreads documents related to attorney’s work.

  • Researches, collects, and assembles documents.
  • Types and proofreads legal documents including, but not limited to, motions, pleadings, interrogatories, and subpoenas to be filed in court.
  • Prepares documents for trial.
  • Files, sorts, retrieves, scans, uploads, and distributes legal materials and documents.

Provides administrative support and performs general office duties for Torts Section.

  • Handles photocopying, sending and retrieving faxes, answering telephones and taking messages, and receiving and escorting law department visitors.
  • Opens, sorts, and prioritizes mail and alerts attorneys with time sensitive or urgent materials to include open records, motions, and pleadings.
  • Reviews attorneys’ schedules for conflicts and determines priorities.
  • Maintains office files and records.  Assists with developing and updating standardized legal forms and documents.
  • Assists with setting up depositions with witnesses and requests checks for witness fees.
  • Arranges meetings, conference calls and reserves conference rooms for Torts attorneys.
  • Delivers or arranges delivery of documents to judges’ chambers, other law firms, etc.
  • Assists with searching electronically stored information.

Maintains Torts’ docket of cases, including tracking litigated cases, hearings, pre-trial motions, and trial dates.

EDUCATION/EXPERIENCE REQUIREMENTS

  • College diploma, plus general office experience in a legal services environment, or an equivalent combination of education and experience relating to this position.
  • Required to type at a minimum rate of speed of 45 words per minute.

 

PHYSICAL REQUIREMENTS

  • Requires sitting for extended periods of time, standing, visual acumen, manual dexterity, and fingering for working with computer keyboards.

  • Service Area Requirement: Exempt (Non-Union) employees must live within the boundaries of the CTA Statutory Service Area either at the time of employment or within 6 months of beginning employment at CTA.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Working knowledge of legal office procedures and practices.
  • Working knowledge of legal terminology and document preparation practices.
  • Working knowledge of basic legal research procedures.
  • Working knowledge of basic standard office administrative practices and procedures.
  • Working knowledge of Microsoft Suite including Word and Excel and trial visual aids.
  • Strong written and oral communications skills.
  • Strong proofreading skills.
  • Strong typing skills.
  • Ability to use discretion when working with confidential information.
  • Ability to organize work, set priorities, meet critical deadlines, and follow-up assignments with minimum direction.
  • Ability to establish and maintain effective working relationships with attorneys, Authority personnel, and external contacts.

  • General office environment.

  • Standard office equipment.
  • Personal computer, standard office productivity and litigation support software, and related software.

Final salary will be determined in part by the qualifications of the selected candidate and may be higher or lower than target.
